Privacy policy
Scannova Solutions ("Scannova", "we") is a 3D capture company based in Accra, Ghana. This policy explains what personal data we collect through scannova.solutions and when you contact us, why we collect it, who processes it for us, and the choices you have. We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843).
Who is responsible for your data
Scannova Solutions, Accra, Ghana, is the data controller. For anything in this policy, email carl@scannova.solutions or WhatsApp +233 55 931 2483.
What we collect
- Enquiry form: your name, phone number or email address, the sector you choose, the property location or the name of your site or organisation, the bedroom count (for homes and hospitality only), anything you add in the message box, and whether you asked for a free pilot. We also record the page you sent it from and the time.
- Spam protection: when you send the form, we turn your internet (IP) address into a one-way code and use it to limit how many enquiries can be sent in an hour. We do not store your IP address itself.
- WhatsApp and email: if you message us on WhatsApp, including through the "Apply for the heritage pilot" and "Send on WhatsApp" buttons, or email us, we receive the message and your contact details.
- Work we carry out: if you book a capture, the address of the property or site, the people we deal with there, the 3D model, photographs and floor plans we produce, and invoices and payment records.
- Analytics (only if you allow analytics cookies): pages visited, device and browser type, approximate location and the buttons you click, through Google Analytics and Microsoft Clarity.
- Advertising measurement (only if you allow marketing cookies): that you visited the site and which actions you took, such as opening WhatsApp.
- Your privacy choice: stored in your own browser so we don't ask again on every page.
Why we use it
- To reply to your request with a fixed price, a proposal or a pilot date, and to send you an automatic email confirming we have your request (when you give us an email address).
- To arrange, deliver and invoice the work you ask for, and to meet our tax and accounting duties.
- To keep the enquiry form free of spam.
- With your permission only, to understand which parts of the website help visitors and to measure our advertising.
We rely on your consent for analytics and marketing cookies, on the steps you ask us to take before a contract for enquiries and quotes, and on our legal duties for business records. We do not sell your data. Saying no to analytics or marketing cookies does not change how the site works or how we handle your enquiry.
Tools that run only with your permission
| Tool | Provider | Category | Purpose |
|---|---|---|---|
| Google Analytics | Analytics | Counts visits and the pages and buttons people use. | |
| Microsoft Clarity | Microsoft | Analytics | Heatmaps and session recordings that show where pages are confusing. Form entries are masked. |
| Google Tag Manager | Analytics or Marketing | Loads the tools in this table according to your choice. It does not set cookies or build profiles on its own. | |
| Meta Pixel | Meta Platforms | Marketing | Measures our Facebook and Instagram ads and lets us show them to past visitors. |
| LinkedIn Insight Tag | Marketing | Measures our LinkedIn ads and lets us show them to past visitors. |
We may not use every tool listed at all times, and we update this table before adding a new one.
Content that loads only when you click
The 3D tours and the property video on this site do not load until you press "Click to explore" or "Play video". When you do, the provider that hosts that content receives your IP address and device details and may set its own cookies:
- 3D tours: hosted by Giraffe360 and Matterport, the platforms we use to publish 3D tours.
- Property video: hosted by YouTube (Google).
Their own privacy policies apply to that content. If you don't click, nothing is loaded from them.
Who processes your data for us
We share personal data only with providers that help us run the business:
- Hostinger: hosts this website, the enquiry form and our business email.
- Microsoft: email (Outlook) and Microsoft Clarity.
- Airtable: our customer and project records.
- Meta (WhatsApp): when you message us on WhatsApp.
- Google: Google Analytics, Google Tag Manager and YouTube.
- Giraffe360 and Matterport: host the 3D tours we deliver.
- Meta and LinkedIn: advertising measurement, only if you allow marketing cookies.
Some of these providers store data outside Ghana, including in the United States and the European Union. We use them because they apply recognised security standards, and we share only what each one needs.
How we protect it
The website runs over HTTPS. Enquiries are stored in a folder on our web host that cannot be opened from the internet, and only Scannova can see our email, customer records and tour accounts.
How long we keep it
- Enquiries that do not become work: deleted within 24 months.
- Client records, quotes and invoices: kept for as long as Ghana's tax and accounting rules require.
- Google Analytics data: no longer than 14 months.
- Your privacy choice: remembered for 12 months, after which we ask again.
Your rights
Under the Data Protection Act, 2012 you can ask to see the personal data we hold about you, have it corrected or deleted, object to how we use it, and withdraw your consent at any time. Email carl@scannova.solutions or WhatsApp +233 55 931 2483 and we will reply as soon as we can, within the time the Act allows. If you are not satisfied, you can complain to the Data Protection Commission of Ghana.
Cookies and your choices
When you first visit, we ask whether you allow analytics cookies, marketing cookies, both, or neither. Nothing in either category loads until you choose, and "Reject all" is as easy as "Accept all". If you withdraw permission later, the tools stop loading and we delete the cookies they stored for this site.
You can also clear this site's data in your browser settings, and you will be asked again on your next visit.
Changes to this policy
We update this page when we change how we handle personal data, and we change the date at the top when we do.
